Yale New Haven Health System (YNHHS) is a not-for-profit academic medical center and the largest healthcare provider in Connecticut. YNHHS is the primary teaching site for Yale School of Medicine and Yale School of Nursing, combining clinical care, research, and education. Growth through acquisitions brings
challenges and opportunities
As YNHHS expanded through acquisitions, its facilities and real estate portfolio grew to 12.7M sq. ft. across Connecticut, Rhode Island, and New York. With each new hospital came its own documentation, standards, and systems—resulting in a diverse, decentralized environment. Naturally, this made it harder to gain a clear, consistent picture of facilities and records at scale.
Each hospital also brought its own maintenance, project tracking, and space management tools. While these systems worked locally, the differences created silos that made cross-system visibility more difficult. Facilities data varied in accuracy, and reality capture later revealed discrepancies, with some buildings measuring up to 8% larger than originally documented.
Project management approaches likewise reflected local practices, often relying on spreadsheets or stand-alone scheduling tools. While effective in smaller settings, these methods slowed decision-making when applied to the full, expanding portfolio. Leadership recognized that a more standardized, integrated approach would be needed to manage growth, ensure regulatory compliance, and support long-term capital planning.
An integrated approach
to digital transformation
As part of a large-scale digital transformation initiative called FaciliNet, Consertus conducted a Sprint 0 with over 30 stakeholders across nine business functions, generating 45 initiatives and a three-year digital transformation roadmap, establishing alignment across previously siloed teams.
- Consolidated 6 CMMS platforms into a single system, with standardized work order processes, life safety measures, and asset configurations.
- Implemented e-Builder PMIS to manage the capital project life cycle, including cost, schedule, contracts, collaboration, and handover, and Starfish Projects as the capital projects reporting platform.
- Deployed Starfish Spaces with Reality Capture, scanning hospital campuses to create accurate models, exposing discrepancies of up to 8%. We established Owners’ BIM standards, the rules for structuring and governing building data, enabling YNHHS to develop an Owners’ BIM capability, the organization’s ability to put those standards into practice to manage facilities effectively. The Owners’ BIM provides a consistent, trusted source of spatial and asset information that supports planning, compliance, and long-term operations.
- Built an integrated digital ecosystem by integrating e-Builder, Infor, StrataJazz, Starfish Projects, Starfish Spaces, and ProLease through Consertus’ Adapters integration tool.
- Organized information around recognized healthcare data standards, ensuring comparability and allowing benchmarking against national providers.
- Delivered training and governance through a space steering committee and structured vendor protocols, embedding adoption across facilities, finance, and regulatory teams.
